[Board-2018] Fwd: Draft Annual Meeting Notice

Fellow BOD Members,

 

I  favor providing as much information to the members as possible.  I agree with Doyle sending 278 copies of the information is a large undertaking, and expensive.  My I suggest we send  the information  electronically.

 

If we elect to send the information via email , a notice should be sent announcing our  plans.  In the same message,  indicate this is being done  to reduce costs and provide as much information prior to the meeting. Also indicate there will be no paper copies at the meeting.

I would certainly not want to hide anything, but printing and  stuffing and mailing 278 copies of the meeting notice, constitution changes, and FY2017 and YTD2018 financial statements would be a big project, not to mention we would have to buy flat envelopes and the postage alone would go up by at least a couple hundred dollars. We’ve never done this  before. Some members might be upset we spent so  much on the mailing. Just doing it the usual way is a fair amount of work. Also, YTD2018 would  have to be through August while the one I will bring to the meeting  will be through September with necessarily different numbers.

The graph tells the story in a glance and there can be a few copies of the numbers at the Club or in request.
