[Board] PYC Communictions

I am pretty sure we agreed that this was NOT a constitutional position, and that it came under the rules. I agree, making this a constitutional position is a huge mistake and would be a difficult sell to the membership.

Jim, thank you for your itemized and well thought out document. To the rest of you, I feel I will back away from this item as I step down from my position in a month and this can be an issue covered by the new Board. My only comment is that this position has come up on numerous occasions this year and the feeling ( at least my take) has been there is NO comparison in the importance of a Communication Specialist and that of our Treasurer and Secretary. We have come to depend on the newsletter and emails as a form of communication regularly throughout the club but at some point we may need to place this position outside our membership. Creating this as a Constitutional position to me is a terrible mistake...but that is only my opinion.

I think we may have been a little hasty in approaching the Communications Specialist position because of the upcoming Annual Meeting.

We should thank Chris for her feedback, ask for an itemized description of what she does, advise her that we will reconsider the decision and hope she doesn't quit.

Then, as a Board, we should:

1. Withdraw the original decision regarding the Communications Specialist position while it is reconsidered.

2. Review Chris' itemized description of what she does and an estimate of her time and expenses.

3. After considering #2 above, the Board should create the official position of PYC Comminicatios Specialist.

4. Create an official job description, to be placed in the appropriate club document, similar to the descriptions of the Flag officers, and various other positions.

5. After considering the time and expenses of the Communications Specislist position, establish a stipend along with any benefits also agreed upon by the Board.

6. Appoint the Communications Specialist annually in the same manner as the Secretary and Treasurer.

7. The new Board can complete this process after it convenes in November and make the actions retroactive if necessary.

8. For future creations of club positions, make no decisions until we have job descriptions, stipend expectations, and time for each Board member to consider the above before voting.

Please feel free to add or adjust this list.

Respectfully Submitted,

Jim

Well as I am reading my emails top to bottom I see a mistake. Please read this from Carole.

I actually thought Carole was not going to talk to Chris until we at least agreed on time of offer and pay schedule. I guess I was once again wrong! Now we have a new snake pit!

Hi Nancy -

Looks like we have another bad situation to work on.

I just talked with Chris Weller and told her the decision

from last night about the Communications position.

Chris is VERY disappointed and I would say VERY upset.

She believes that the Board either doesn't understand the

position or doesn't care. Here's why.

1. She spends about the same amount of hours that Doyle

and I do on club work. She thinks that the Board does

realize all that is involved with web site management,

emails, and newsletters. She feels that she should be

compensated the same as the Treasurer and Secretary.

with her dues forgiven and an additional stipend.($1500).

2. She feels that her responsibilities should be recognized

in the Constitution the same as the Treasurer and

Secretary positions are. Times have changed, and the

need for this specialized work has increased dramatically.

3. Yes, there is a description of a "Communications

Committee" in the Member Directory. The write-up is not

up to date. Also, other people listed on the committee have

not done anything towards the communications functions in

the past few years other than to manage cameras. etc.,

which is now a totally different function from communications

through the web site and emails. She feels, and I agree,

that the Communications Committee mentioned on page 71

of the directory should be removed, since it has not changed

     in many years.

4. Chris is certain that Board members are not aware of

how much work is involved and how much it has impacted.

the club. I can remember when attendance was slim and

very dull at events. In the past 6 years, Chris'

communications have increased interest and have also

successfully advertised events either mistakenly listed or

not listed in the annual schedule.

5. She feels this is a slap in the face because the position is

not recognized properly. For example, the responsibility

for newsletters is indicated in the Constitution as a

responsibility of the Vice Commodore. Yet Chris has

taken this responsibility on herself for years.

Nancy, I've worked very closely with Chris for years, and saw

her assume these responsibilities and do all this work 6 years

ago because she saw the need. I have done all I can to bring

this to the Board. I am not a Board member. Nor did they ask

Chris to come before the Board to state her case. But I have

seen her faithful and consistent work for the benefit of the club

and can only worry about her taking this personally since no

once seems to go to bat for her.

I don't know what happens next but an wondering whether the

Board could reconsider their position very very quickly.

Best,

Carole
